Client Contact Response Procedures Policy – What Happens When You Contact Us

You have contacted us in one or more of several ways (listed below) and now you need to know what typically will happen next as regards a response back from us to you. We try to send an ‘Acknowledgement Post Card’ back to you the same day that we receive contact from you. The fastest ‘Acknowledgement’ back to you, from us, is by E-mail (fastest), then Fax, then by U.S. Mail (slowest). We generally do not make ‘Acknowledgement’ phone calls back to you because we rarely make contact on the first call. (Please note *below best contact methods differ During and After tax season.)

 

Response Time (from TaxHelp911.com back to you) varies as follows:

1. Almost instant (10-30 seconds)

2. A few hours

3. A few days, or longer

The above stated response times vary according to day-to-day circumstances and the time of year (tax season vs. off-tax season), as well as the method in which you contacted us. During tax season (Jan-Apr) we run at full power with phone calls answered almost instantly upon your call-in and full time staff ready for your visit to our office. However, day-to-day response circumstances will always vary due to staff and Internet availability (illness, vacations, power outages, etc.), especially during the off-tax season (May-Dec). During tax season (Jan-Apr), most clients get ‘instant’ response time from us and we work 12 hours / day to accommodate the seasonal rush needs of our clients. Later, we need to balance that high stress tax season ‘instant service’ with a slower off-tax season schedule which includes, comparatively slower response times from us. For instance, after tax season, phone calls are handled on a call-back basis, as you will not get a live person answering the phone ‘instantly’ (but we do check messages daily and we know that you called if you leave a voice message).

E-mail or Fax contact from you generally gets the fastest response from us because it is the easiest and most flexible way for us to respond back to you. We don’t need to be immediately available when your E-mail arrives, but we can still respond quickly. We encourage E-mail or Fax contact as the best method because we can easily read your E-mail or Fax and determine who it should be routed to within our company. Response time can be very fast and flexible for both of us.

DURING TAX SEASON (Jan-Apr)

 

Phone calls for making appointments are GREAT!

Calls for APPOINTMENTS are handled FAST during tax season.

However, i.e. calls for QUESTIONS, making person-to-person phone contact during the busy tax season is getting harder to achieve when someone tries making a ‘traditional’ phone call. Everyone is usually busy at the moment a phone call comes in, responding to appointment interviews, E-mails, Faxes, prior Phone messages, etc. That said, DURING TAX SEASON (Jan-Apr) phone contact from you (during office hours) to make appointments, generally gets handled instantly by full time staff waiting to answer you incoming call. However, if you call is for other than making an appointment, chances are the person you want to speak with is already with a client and will need to contact you later. So we take messages and forward them to the appropriate person. If you leave a detailed voice message (including cell phone and E-mail address), that will help us respond faster, rather than just leaving your name and phone number only (which usually results in seemingly endless ‘phone tag’). Response time can be much faster with your Emails or Fax. If you don’t have a cell phone, E-mail or Fax then we will just play ‘phone tag’ until we connect.

AFTER TAX SEASON (May-Dec) phone contact from you is handled on a call-back basis after you leave us a (preferably detailed) voice message including your cell phone and Email address. We take messages and forward them to the appropriate person. If you leave a detailed message, that will help us respond faster, rather than just leaving your name and phone number only. Phone calls for other than making appointment, we encourage E-mail or Fax contact as the best method because we can easily read your E-mail or Fax and determine who it should be routed to within our company. Response time can be much faster with E-mails or Fax. If you don’t have a cell phone, E-mail or Fax then we will just play ‘phone tag’ until we connect.
